Setline is an app where a coach works with their students and a student logs training, food and how the week went. This page describes what we actually store, why, who can see it and how to erase it. It follows how the product is built rather than a generic template.
Questions and data requests: support@setline.space.
1. What we collect and why
| Data | Purpose |
|---|---|
| Email address and password (stored as a hash), or Sign in with Apple | Signing in, password recovery, service emails about the subscription and about account deletion |
| Name and profile picture — optional | So the other side knows who they are talking to |
| Time zone and role (coach, student or both) | Weeks, reminders and the calendar are counted in your local time |
| Training: assigned days and programs, sessions, sets (weight × reps), notes | The core of the app: the plan and how it was done |
| Food: meals, calories and macros, captions, meal photos, daily goal | The student's food diary and the daily bar |
| Weekly check-in: how the week felt, what got in the way, body weight | The weekly ritual: a short report to yourself and to the coach |
| Photos: meal, gym, progress | Progress photos and form review |
| Chat: text, voice messages, short video, cards of shared objects | Chat is the main channel between coach and student |
| Push token and platform (iOS or Android) | Delivering notifications about messages, assignments and check-ins. Created only after you allow notifications |
| Coach payments: amount, currency, period, status, date, payment id at the payment provider | Premium subscription, auto-renewal, refunds and accounting |
| Technical records: failed invite-code attempts, server logs with IP address and request time | Protection against guessing someone else's invite code, and debugging |
We never see or store card details: payment happens at the payment provider, and only the amount, status and its internal payment id come back to us. There are no advertising or analytics trackers in the app, we do not build advertising profiles and we do not sell data.
2. Who can see what
The core rule of the product: the student's diary is private. The calendar, sessions, food, weight and photos are visible to the student only. A coach sees a particular object once the student has shared it into the chat with that coach — and only that coach. Other coaches of the same student do not see it.
- Name and profile picture are visible to people you have a coaching or an open invitation with.
- A conversation is visible to its two participants only.
- What you sent into a chat stays with the other side as their copy of the conversation: it cannot be unsent, as in any messenger.
- Staff do not read private chats as a matter of routine. The server administrator has database access and uses it for maintenance and incident analysis.
3. Where and how long it is stored
Data lives on a single dedicated server that we rent from the hosting provider FirstVDS and configure ourselves. We do not use third-party clouds to store training data, conversations or photos. Photos, voice messages and video are stored as files on the same server and served through short-lived links.
- While the account exists — everything listed above.
- Payment records — five years after the end of the year in which the payment was made. This is required by Russian tax and accounting law (Tax Code art. 23(1)(8), Federal Law 402-FZ art. 29, Federal Law 54-FZ art. 4.5), so we cannot delete them on request.
- Failed invite-code attempts — 24 hours.
- Server logs are operational: system logs rotate on a schedule (about a month), service logs are reset when a service is updated. We do not use them for analytics or profiling.
4. Who we share data with
- Payment provider (YooKassa) — amount, description and the email address for the fiscal receipt, as required by law.
- Email provider (Timeweb) — sending address confirmation, password recovery, subscription and account-deletion emails.
- Apple and Google — delivering push notifications. A notification carries the sender's name and a short text: the same thing you see on the lock screen. Notifications can be turned off in system settings.
No one else. Nothing goes to ad networks, data brokers or analytics services.
5. Your rights
- View and correct your data in the app: name, picture, diary entries, meals, check-ins.
- Request a copy of your data by writing to support@setline.space from the address the account is registered to. We answer within 30 days.
- Withdraw consent for notifications by turning them off in system settings.
- Delete the account — in the app or on this site, see below.
6. Deleting your account
In the app: Profile → Delete account. You will be asked to sign in again, so the deletion cannot be triggered from an unlocked phone left on a bench. Without the app: use the deletion page — enter your email, get a one-time link and confirm with a button.
Erased for good:
- the account itself: email, password, Apple link, all sessions;
- your training, sets, assignments, food, check-ins, weight, streaks and weekly statistics;
- your photos and files, including the files on disk;
- device tokens: notifications stop immediately;
- for a coach — their exercises, days and programs, invitations and subscription: auto-renewal is turned off and nothing is charged again.
What stays and why:
- Messages you sent into a chat. They are the other side's copy of the conversation; erasing them would erase someone else's archive. Your name and picture are no longer shown with them.
- An empty profile shell — a row with no name, picture or settings, marked as deleted, so the other side's conversation does not fall apart.
- Payment records — for the period in section 3. Everything unnecessary is wiped from them: the full provider response, the recurring payment key and the payment link; amount, status and date remain.
- Coachings move to the "ended" state, which frees the other side's slot and keeps their chat archive.
Deletion happens immediately, not "in 30 days". There is no undo and no restore; coming back means a new account.
7. Children
Setline is intended for adults. We do not knowingly create accounts for children under 16. If such an account was created, write to us and we will delete it.
8. Changes
If the rules change, we update this text and its version date. We announce material changes by email to the account address.
